Privacy Policy

This policy explains which personal data Almakom SA processes, why, and what rights you have. It follows the Swiss Federal Act on Data Protection (FADP) and, where it applies to you, the EU General Data Protection Regulation (GDPR).

1. Who we are

2. What this policy covers

This policy covers:

  • our website www.almakom.ch;

  • our relations with prospects, clients, suppliers and partners;

  • AlmaConnect, our application for publishing posts to LinkedIn company pages (section 4).

It does not cover the data our clients entrust to us during their ERP and CRM projects. There we act as a processor on the client's instructions, under the contract signed with that client.

3. Data we process and why

  • When you visit the website: we process your IP address, browser and device type, the pages you view, and the date and time, to deliver the site, keep it secure and fix errors. Legal basis under the GDPR: legitimate interest.

  • When you send us a contact form or an audit request, or use the cost calculator: we process your name, email, phone, company, role, and what you write or answer, to reply to you and prepare an offer, and to send you our news if you tick the subscription box. Legal basis: steps taken at your request before a contract; legitimate interest; consent for our news.

  • When you are a prospect, client, supplier or partner: we process your business contact details, role, correspondence, meeting notes, and contract and invoicing data, to manage the business relationship, perform contracts and keep our accounts. Legal basis: performance of a contract; legal obligation; legitimate interest.

  • When you use AlmaConnect: see section 4. Legal basis: performance of a contract.

We collect this data from you directly. We do not buy personal data, and we do not use your data for automated decisions or profiling.

You are free not to give us data, but we cannot reply to a request or perform a contract without the contact details it requires.

4. AlmaConnect: publishing to LinkedIn company pages

AlmaConnect lets an administrator of a LinkedIn company page publish posts to that page, either from our web interface or from an AI assistant they connect to it. You sign in with your LinkedIn account, and LinkedIn asks for your consent before giving us any access.

What we access through the LinkedIn API

  • your LinkedIn member identifier;

  • the company pages on which you hold an administrator or content role, and that role;

  • the posts of those pages, when you ask to see them. They are displayed to you and not stored.

What we store

  • your LinkedIn member identifier;

  • the access tokens LinkedIn issues, in encrypted form;

  • the list of your pages: identifier, name and your role;

  • for each post published through the application: its identifier, the page and the time of publication;

  • a hashed key for the connection to your AI assistant.

What we do not collect or store

  • the text and images of your posts. They pass through our server on their way to LinkedIn and are not kept;

  • your name, photo, email address, profile or connections;

  • comments, reactions, follower data or any data about other LinkedIn members.

How we use this data

We use it only to provide the service to you. We do not use it for advertising, sell it, combine it with other data, or use it to train artificial intelligence models. We share it with no one other than the hosting providers listed in section 6.

How long we keep it

  • LinkedIn access tokens expire after 60 days unless you renew the authorization.

  • The "Disconnect and delete my data" button in the application deletes your identifier, tokens, page list and post history from our systems immediately.

  • You can also withdraw access at any time in your LinkedIn account settings, or write to contact@almakom.ch. We then delete your data within 30 days.

Posts you publish are stored and displayed by LinkedIn under LinkedIn's own privacy policy. If you use the application through an AI assistant, what you send through that assistant is also handled by its provider under its own terms.

5. Cookies

The website uses the following tools:

  • Wix (Wix.com Ltd): displays the site and keeps it secure. Essential.

  • Usercentrics (Usercentrics GmbH, Germany): shows the cookie banner and records your choices. Essential.

  • Microsoft Clarity (Microsoft): measures how visitors use the site, including pages viewed, clicks, scrolling and session replays. Analytics.

  • Google Ads (Google): measures the results of our advertising. Analytics.

Analytics tools load only after you accept them in the cookie banner. You can change your choice at any time from the banner.

AlmaConnect uses three cookies, all strictly necessary:

  • pp_session: keeps you signed in. Lifetime: 7 days.

  • pp_oauth_state: protects the LinkedIn sign-in against forgery. Lifetime: 10 minutes.

  • pp_flash: shows a confirmation message after an action. Lifetime: 30 seconds.

You can block cookies in your browser. The website will still display, but you will not be able to sign in to the application.

6. Who receives your data

We do not sell personal data. We share it only with the service providers below, who act on our instructions, and with authorities when the law requires it.

  • Wix.com Ltd: website hosting and contact form. Data processed in the EU, Israel and the United States.

  • Typeform SL: audit form and cost calculator. Data processed in the EU and the United States.

  • Pipedrive OÜ: customer relationship management. Data processed in the EU.

  • Microsoft: email and office tools. Data processed in the EU and Switzerland.

  • Cloud hosting providers: hosting and database of AlmaConnect. Data processed in the EU.

  • LinkedIn: receives the posts you publish through AlmaConnect. Data processed in Ireland and the United States.

Usercentrics, Microsoft and Google also receive browsing data through the tools described in section 5, processed in the EU and the United States.

7. Transfers outside Switzerland

Some of these providers process data outside Switzerland, in the EU/EEA, Israel and the United States.

The EU/EEA countries and Israel are recognised by Switzerland as offering an adequate level of protection. For the United States, and for any other country without such recognition, the transfer relies on the provider's certification under the Swiss-U.S. Data Privacy Framework or, where the provider is not certified, on standard contractual clauses. You can ask us for a copy of the safeguards that apply.

8. How long we keep data

  • Enquiries that lead to no business relationship: 24 months after our last contact.

  • Clients, suppliers and partners: for the duration of the relationship, then 10 years for contracts, invoices and accounting records.

  • Website technical logs: for the limited period set by our hosting provider.

  • AlmaConnect: as described in section 4.

After these periods the data is deleted or anonymised.

9. Security

We protect personal data with measures suited to the risk: encrypted connections, encryption of LinkedIn access tokens at rest, access limited to the people who need it, and providers bound by contract to protect the data. If a breach creates a high risk for you, we will inform you and the competent authority as the law requires.

10. Your rights

You can ask us to:

  • give you access to your data and a copy of it;

  • correct data that is wrong or incomplete;

  • delete your data, or restrict or object to its processing;

  • give you your data in a common electronic format, or send it to another controller;

  • stop a processing you had consented to. Withdrawing consent does not affect what was done before.

Write to contact@almakom.ch. We reply within 30 days and free of charge, and may ask you to prove your identity. Some requests can be refused where the law requires us to keep the data.

You can also lodge a complaint with the Federal Data Protection and Information Commissioner (FDPIC), www.edoeb.admin.ch, or, if you live in the EU, with the data protection authority of your country.

11. Changes to this policy

We may update this policy. The date at the top shows the latest version. If a change affects how AlmaConnect handles your LinkedIn data, we will tell you in the application before it takes effect.
